Tracking the Real Amount for Open Purchase Orders

This technical article includes a data entry trick combined with custom reporting that allows you to track the actual amount of open purchase orders in your QuickBooks file. If you have backordered quantities on a purchase order, QuickBooks displays the total amount of the Purchase Order on Open Purchase Order reports - not the amount net of the backordered quantities. With this trick the report will show you only the items that are still on the way - not including the parts you received from the supplier. The book provides procedures for obtaining your clients' data files (using various data transfer methods), analysis and troubleshooting procedures to correct your client's setup and entry errors, synchronizing your edited file with your client's file (using various data transfer methods), reporting on the corrected financial statements in compliance with GAAP and importing the corrected Trial Balance into ProSeries and Lacerte tax preparation software. The heart of the book - and the bulk of the content - is the highly detailed analysis and troubleshooting procedures. The procedures focus first on the setup of the data file (QuickBooks lists), then troubleshooting changes your clients make to previous financial periods and then troubleshooting data entry errors to each critical account balance, beginning with cash and working through the Trial Balance from the Balance Sheet to the Income Statement. Joe Woodard is author of Top 100 QuickBooks Tips, Tricks and Workarounds. This book is intended for QuickBooks consultants, to help them track information and create reports in ways that, on the surface, seem to be unavailable in QuickBooks. These types of procedures are called Workarounds - a term that applies to all software applications. Sometimes workarounds are designed to get around a bug in the program code of an application. Other times workarounds expand the capabilities of a program in ways that even the developer may times doesn't realize is possible. All of the over 60 workarounds in this text solve for program limitations, not bugs in the program code, because compared to most other applications QuickBooks is practically bug free. In the book Joe draws a distinction between a quick and easy workaround and an involved workaround that is more complicated to setup (though not necessarily complicated to perform). In this text a simple workaround is a "trick." There are 33 tricks in the text and 34 workarounds. There are also 33 text only tips for QuickBooks consultants and power users.
